Privacy Policy

1. Information we collect

• Account information: email address, name and password (stored as a hash). If you sign in with Google or GitHub, that account’s email address and name
• Usage information: organizations and settings, the number and length of conversations, and balance and top-up records
• Conversation information: transcripts, collected fields, summaries, the caller’s phone number, and recordings (if enabled)
• Payment information: card details are held by our payment processor, not by us
• Inquiries and technical information: what you enter in forms, IP addresses, browser type and errors

2. How we use it

• Providing the Service, authentication, charging and billing
• Handling incidents, preventing abuse and responding to inquiries
• Improving the Service. We never use conversation content to train machine learning models

3. Conversation records and recordings

Conversation records and recordings are used only to provide the Service and are deleted automatically after 30 days. As set out in the Terms, you are responsible for informing callers and obtaining their consent.

4. Sharing and processors

We do not provide personal information to third parties except as required by law. To provide the Service, we entrust processing to providers of cloud, speech recognition, generative AI, speech synthesis, payments, email delivery and error monitoring. Some of them are located outside Japan. We require appropriate security from them by contract.

5. Google user data

Data received when you sign in with Google or connect Google Calendar or Google Sheets is used only to provide the features you set up (sign-in, checking open slots and creating and cancelling bookings, and looking up and adding rows to the record sheet). It is never used for advertising or AI training, and never sold. When you disconnect, we delete the access token.

voicast’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

6. Security

All traffic is encrypted. Passwords and API keys are stored as hashes, and connection tokens are stored encrypted.

7. Access, correction and deletion

You can ask us to disclose, correct or delete your personal information. Please contact us. You can delete organizations and your account in the dashboard.

8. Cookies

We use cookies to keep you signed in and to understand how our sites are used (Google Analytics).

9. Changes

We may revise this policy when laws or the Service change. The revised policy applies from when it is posted on this page.
